Mistakes are normal after a busy activity: a volunteer selects the wrong date, enters 30 instead of 90 minutes, or describes the wrong task. HelpHours gives each submission a private receipt link so its holder can correct that one entry without gaining access to the journal or other volunteers. Corrections create a new revision instead of silently replacing history.

Save the private receipt after submitting

The submission result shows a receipt link for that entry only. Treat it as a bearer credential: anyone holding it can view, correct, or withdraw the entry. Do not post it in a public channel, and do not send the manager link to a volunteer who only needs to edit one report.

Correct the factual fields and keep the note short

Update the service date, exact duration, activity label, or optional note through the receipt. The previous revision remains in append-only history, so the coordinator can understand what changed without relying on chat screenshots.

An accepted correction returns to pending

When the receipt holder changes an accepted entry, the old accepted revision immediately leaves the accepted total. The new revision starts pending and contributes zero until the manager reviews it. This prevents a volunteer correction from silently changing an already reviewed total.

Withdraw an entry that should no longer count

A receipt holder may withdraw their entry instead of replacing it with misleading values. Withdrawal preserves the record for history but contributes zero. A closed journal still permits viewing and withdrawal, while new submissions and corrections remain blocked.

Use history to explain changes, not to build surveillance

Revision and decision history should answer what changed and which state currently counts. It is not proof of who held a link at a particular moment. Keep access limited to the people who need the journal and rotate a shared submission link when necessary.
